This policy explains which personal data we process when you visit this website or when you write to us, by e-mail or using the contact form, including to arrange an appointment. It also describes the preparation questionnaire and our Google Calendar booking page. It is based on the Federal Act on Data Protection (FADP; in French, LPD) (new tab), fully revised and in force since 1 September 2023, and on its implementing ordinance, the Data Protection Ordinance (DPO; in French, OPDo).

In brief

  • This website uses no cookies, no trackers and no third-party scripts.
  • The typefaces are hosted on our own server. Your browser does not contact any external service to load them.
  • The contact form only passes your details and your answers to the questionnaire on to us when you send it, by e-mail. The website does not keep them.
  • The appointment booking page is a Google service. It opens in a new tab, only if you click on its link, and Google applies its own rules there, including for cookies.
  • We measure audience solely with our hosting provider’s server statistics, without cookies.
  • We do not sell your data and do not use it for advertising purposes.

2. Data processed and purposes

Visiting the website: server logs

Like any web server, our hosting provider’s server automatically records each request in log files. Under the usual configuration, these logs contain in particular:

  • the IP address of the device visiting the website;
  • the date and time of the request;
  • the page or file requested and the server’s response code;
  • the volume of data transferred;
  • the referring page, if your browser sends it;
  • the type and version of the browser and operating system.

An IP address may constitute personal data. We use these logs to display the website, ensure its security (for example to detect abuse or attacks), correct errors and compile visitor statistics. We do not seek to identify visitors.

This processing complies with the principles of Art. 6 FADP. Insofar as a justification is required, it is based on our overriding interest in operating a secure and functional website (Art. 31 para. 1 FADP).

Audience measurement: server statistics

To find out how many people visit the website, we use the web statistics tool of our hosting provider, Infomaniak. This tool analyses the server logs described above. It sets no cookies and adds no scripts to the pages.

We only have access to aggregated results: number of requests, page views and visits, volume of data, pages viewed, referring websites and approximate geographical origin. Visits are estimated from IP addresses: a new visit is counted when the same address returns after 30 minutes. We do not combine these statistics with other data.

Justification: our overriding interest in understanding how the website is used and improving it (Art. 31 para. 1 FADP).

Contact by e-mail or via the form

If you write to us, by e-mail or using the contact form, we process the data you send us: name, e-mail address, company, telephone, position, content of the message, answers to the questionnaire and any attachments (by e-mail only). We use them to respond to your request, prepare a possible offer and maintain our relationship.

Justification: the preparation or performance of a contract (Art. 31 para. 2 let. a FADP) and our interest in responding to the requests addressed to us.

An ordinary e-mail is not end-to-end encrypted. Please do not send us sensitive data by this means, or via the form.

Contact form and questionnaire

The preparation questionnaire works in your browser and its questions are optional. Your answers and your details are only passed on to us if you voluntarily send the contact form: they then reach us by e-mail at contact@quotidia.ch, our mail service hosted by Infomaniak, in Switzerland. They are not stored on the website’s server. We send you an acknowledgement of receipt at the address you provide, no more than one per hour for the same address.

To screen out automated submissions, the page requests a technical token from the server, which contains no data about you. To limit abuse, the server also keeps a fingerprint (hashed value) of your IP address and your e-mail address, with the time of sending. It is used solely to count submissions and acknowledgements of receipt and is not linked to the content of your request. It is no longer taken into account after one hour and is deleted the next time the form is used.

Justification: the preparation of a possible contract (Art. 31 para. 2 let. a FADP) and your consent, given by ticking the box on the form (Art. 31 para. 1 FADP). You may withdraw this consent at any time by writing to us. Retention period: that of e-mails (point 6).

Booking an appointment on Google Calendar

The Contact page offers a link to our Google Calendar booking page. It opens in a new tab, on a Google website: it is not part of our website, and no Google script or cookie is loaded unless you follow this link.

If you book a slot, you enter your name, your e-mail address, the chosen slot and, where applicable, your answers to the questions on the page. This data is processed by Google (Google LLC, United States, or one of its affiliates, such as Google Ireland Limited, as provided for in Google’s terms), in accordance with Google’s privacy policy (policies.google.com/privacy (new tab)), which also applies to the cookies on that page.

It reaches us in the founders’ Google account, from which the invitation to the appointment is sent to you. It may be processed in the United States: Google LLC is certified under the Swiss-U.S. Data Privacy Framework (point 5).

Justification: the preparation of a possible contract (Art. 31 para. 2 let. a FADP). Retention period: that of the e-mails and appointments in our calendar (point 6).

3. Cookies and trackers

This website uses no cookies, no tracking pixels, no third-party analytics tools and no social media plug-ins. That is why no consent banner is displayed.

The third-party websites to which we link, in particular our Google Calendar booking page, may, however, use their own cookies.

4. Recipients and processors

We only disclose your data to the following recipients, and only to the extent necessary:

  • Infomaniak Network SA, Rue Eugène Marziano 25, 1227 Les Acacias (GE), Switzerland: hosting of the website, server logs, web statistics and processing of the contact form. According to Infomaniak, the data entrusted to it is hosted and processed in Switzerland.
  • Mail service provider: Infomaniak Network SA, Rue Eugène Marziano 25, 1227 Les Acacias (GE), Switzerland; data processed in Switzerland.
  • Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, United States, or one of its affiliates according to Google’s terms: Google Calendar booking page and the founders’ Google account, if you book an appointment.
  • Our contractors bound by a duty of confidentiality (for example an accountancy or trust company), where necessary.
  • The authorities, where the law requires us to do so.

Our processors may only process your data in the way we ourselves would be entitled to, according to our instructions and under a contract (Art. 9 FADP).

5. Disclosure abroad

Data relating to the website (logs, statistics and contact form) and to our mail service is processed in Switzerland. Only bookings made on our Google Calendar page may be processed in the United States, by Google LLC, which is certified under the Swiss-U.S. Data Privacy Framework: the Federal Council recognises an adequate level of protection for companies certified in this way (Art. 16 para. 1 FADP).

If data were to be disclosed outside Switzerland, we would only do so under the conditions of Art. 16 and 17 FADP:

  • to a State whose level of protection the Federal Council has recognised as adequate, which is the case in particular for the States of the European Union and the European Economic Area and, for companies certified under the Swiss-U.S. Data Privacy Framework, for the United States;
  • failing that, with appropriate safeguards, in particular standard data protection clauses recognised by the Federal Data Protection and Information Commissioner (FDPIC; in French, PFPDT);
  • or, exceptionally, in a case provided for by law, for example where the disclosure is directly connected with the conclusion or performance of a contract with you.

6. Retention period

We keep data for as long as necessary for the purposes described, then delete or anonymise it, subject to statutory retention obligations, in particular for accounting (10 years under Art. 958f of the Code of Obligations).

  • Server logs: depending on our hosting provider’s configuration, at least 7 days.
  • Web statistics: aggregated results, kept for as long as the website is operated.
  • E-mails: as long as necessary to process the request and maintain the relationship, subject to statutory retention obligations.
  • Contact form: requests are kept in the same way as e-mails; the website’s server keeps no copy. The fingerprints of the IP address and of the e-mail address are no longer taken into account after one hour and are deleted the next time the form is used.
  • Appointments booked on Google Calendar: as long as necessary to organise the appointment and maintain the relationship.

7. Security

We take technical and organisational measures appropriate to the risk to protect your data against loss, unauthorised access, alteration or disclosure (Art. 8 FADP). The website is hosted in Switzerland and access to data is limited to the people who need it.

No transmission over the Internet is, however, completely secure. If a data security breach is likely to result in a high risk for you, we report it to the FDPIC and, if necessary, inform you (Art. 24 FADP).

8. Your rights

Within the limits provided for by law, you may:

  • request access to your data: find out whether we process data concerning you, which data, for what purpose, for how long and to whom we disclose it (Art. 25 FADP). The response is in principle free of charge and given within 30 days;
  • request the correction of inaccurate data (Art. 32 para. 1 FADP);
  • request the erasure of your data, unless a legal obligation or an overriding interest requires it to be kept (Art. 32 para. 2 let. c FADP);
  • object to processing or to the disclosure of your data to third parties (Art. 30 para. 2 let. b and Art. 32 para. 2 FADP);
  • receive the data you have provided to us, or have it transferred, in a common electronic format, where the conditions of Art. 28 FADP are met;
  • withdraw your consent at any time, where processing is based on it, without affecting processing already carried out.

To exercise these rights, write to us at contact@quotidia.ch or at the postal address given in point 1. We may ask you to prove your identity if there is any doubt. These rights may be restricted in certain cases provided for by law (Art. 26 FADP).

You may also assert your claims before the civil courts (Art. 32 FADP and Art. 28 et seq. of the Civil Code).

9. Supervisory authority

If you consider that the processing of your data does not comply with the law, we invite you to contact us first. You may also contact the Federal Data Protection and Information Commissioner (FDPIC), Feldeggweg 1, 3003 Bern, www.edoeb.admin.ch (new tab). The FDPIC may open an investigation following a report (Art. 49 FADP). It cannot, however, exercise your rights on your behalf.

10. No automated individual decision-making

We do not take any decision based solely on automated processing that would have legal effects for you or significantly affect you (Art. 21 FADP). We do not carry out any profiling.

11. European General Data Protection Regulation (GDPR)

Our offering is aimed at companies established in Switzerland. The GDPR (in French, RGPD) may apply to a company located outside the European Union when it offers goods or services to persons who are in the Union, or when it monitors their behaviour in the Union (Art. 3(2) GDPR).

We do not target the EU market and this website does not monitor the behaviour of its visitors. The GDPR should therefore not, in principle, apply to our processing. Should this be the case in a particular situation, you would benefit from the rights it provides, which are essentially those described in point 8.

12. Changes

We may amend this policy at any time, in particular when our legal structure is created or a booking tool is chosen. The version currently published on this website is the one that applies. The date of the last update appears at the top of the page.
